The short version
- We use your Gmail and Google Calendar data only to run the features you asked for: briefs, task capture, drafts, labels, and calendar changes.
- Nothing is sent from your account, and no event involving other people is changed, without your approval.
- We never sell Google user data, use it for advertising, or use it to train general-purpose AI models.
- You can revoke access at any time from your Google Account, and we'll delete what we hold on request.
1. Who we are
Crown Innovations, LLC (“Crown Innovations,” “we,” “us”) is a software and AI integration studio based in Dallas, Texas. This policy explains how we collect, use, store, and share information through our website at crowndev.co and through the applications we build and operate that connect to Google accounts, including our Gmail and Google Calendar assistant (the “App”).
2. Our website
Our website has no user accounts, sets no cookies of its own, and runs no analytics or advertising trackers. Some services we rely on do receive limited technical information when you visit:
- Hosting. Amazon Web Services serves the site and processes standard request data, such as your IP address and browser type, to deliver pages and protect against abuse.
- Fonts. Typefaces load from Google Fonts, which receives your IP address when your browser requests them.
- Scheduling. If you book a call, the booking form is provided by Cal.com. The name, email address, and notes you enter are shared with us so we can hold the meeting, and are handled under Cal.com’s own privacy policy.
If you email us, we use what you send only to reply and to provide any services you ask about.
3. Google user data
The App connects to a Google account only after the account owner signs in with Google and grants permission on Google’s consent screen. It requests only the access its features need.
Data we access
- Gmail (
https://www.googleapis.com/auth/gmail.modify): message headers, content, and attachments; labels; and drafts. This permission also lets the App apply labels, create drafts, and send messages. The App never permanently deletes email. - Google Calendar (
https://www.googleapis.com/auth/calendar.events): events on calendars the account can access, including titles, times, attendees, locations, and descriptions. This permission also lets the App create and update events. - Account identity: the email address of the connected account, used to confirm which account was connected.
How we use it
We use Google user data only to provide and improve the App’s user-facing features:
- Summarizing new email and upcoming events into daily briefs, check-ins, and alerts for the account owner.
- Spotting requests, commitments, and follow-ups in email and meetings, and turning them into tasks.
- Applying labels and preparing reply drafts for the account owner to review.
- Proposing calendar changes, such as protected focus-time blocks, and making them once approved.
- Sending email or changing events that involve other people, only after the account owner approves each action.
How we share it
We do not sell Google user data. We share it only with the service providers below, only to the extent needed to run the features above, and never for advertising:
- AI processing (Anthropic). Relevant parts of messages and events are sent to Anthropic’s Claude models to produce summaries, priorities, task suggestions, and draft replies. This data is not used to train AI models.
- Notifications (Discord). Briefs, alerts, and approval requests are delivered to a private Discord server controlled by the account owner. These can include sender names, subject lines, event details, and short summaries.
- Task management. Tasks the App creates, which hold a short title and description drawn from an email or meeting, are stored in the task-management workspace connected to the App.
We may also disclose information if required by law, or as part of a merger or acquisition, with notice to affected users and their consent where the law or Google’s policies require it.
Human access
No one reads Google user data except the account owner, unless (a) the owner gives explicit permission for specific messages, (b) it is needed for security purposes such as investigating abuse, (c) it is required to comply with applicable law, or (d) the data has been aggregated and anonymized for internal operations.
4. Limited Use
Crown Innovations’ use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
In particular, we do not:
- use or transfer Google user data to serve advertisements, including retargeting, personalized, or interest-based ads;
- sell Google user data, or transfer it to data brokers or information resellers;
- use Google user data to determine creditworthiness or for lending purposes;
- use Google Workspace data, such as Gmail and Calendar, to develop, improve, or train generalized or non-personalized AI or machine-learning models.
5. Retention & deletion
The App fetches data directly from Google over encrypted connections and processes it on the computer where the App runs. It does not keep a copy of your mailbox or calendar.
- Access tokens are stored in the operating system’s encrypted keychain and kept until access is revoked or the account is disconnected.
- Operating records, such as the IDs of messages and events already processed, a log of actions the App took or proposed with short summaries, and notifications held for later delivery, are kept only as long as needed to run the App.
- Tasks and notifications stay in the task workspace and Discord server until the account owner deletes them.
When access is revoked, or when you ask us to delete your data, we delete the stored tokens and operating records within 30 days, unless the law requires us to keep them longer.
6. Security
We protect data with encryption in transit (TLS), sign-in through Google’s OAuth 2.0 with PKCE, tokens stored in an encrypted keychain rather than in files, the narrowest Google permissions that support the App’s features, and access limited to the people who operate the App. No method of storage or transmission is perfectly secure, but we work to protect your information and will notify affected users of a breach as required by law.
7. Client work
When we build or operate software for a client, we process data on that client’s behalf and follow our agreement with them. If you are a client’s customer or employee, your questions about that data are best directed to the client first; we will help them respond.
8. Your choices
- Revoke Google access at any time from your Google Account at myaccount.google.com/connections. The App stops accessing your data immediately.
- Ask for access or deletion by emailing hello@crowndev.co. We respond within 30 days.
- Decline approvals. Any action that sends email or changes a shared event can be declined, and the App will not carry it out.
Depending on where you live, you may have additional rights to access, correct, delete, or port your personal information, or to object to how it is processed. Contact us to exercise them.
9. Children
Our website and applications are intended for businesses and adults. They are not directed to children under 13, and we do not knowingly collect information from them.
10. Changes to this policy
If we change this policy, we will post the new version here and update the effective date above. If a change affects how we use Google user data, we will ask for your consent before applying it to data we have already received.
